Voucher Ledger

Vouchers can be sold and redeemed through the Point of Sale module. The Voucher Module allows back office maintenance and viewing of vouchers, and ledger reporting. The Voucher Module supports two types of vouchers; Value Vouchers that hold a monetary value and Item Vouchers that hold a count value. The Voucher Ledger integrates directly with the General ledger.

 

The Voucher Module is a sub-module of Point of Sale. Therefore, POS is required in order to sell and redeem vouchers.

Voucher Numbering

Pre-geneated Vouchers: You can sell physical vouchers which already have a number printed (or magnetic card encoded) and allocate that number at the time the voucher is sold by keying in the number (or swiping the magnetic card).

Additionally, you can allocate voucher numbers to certain voucher types before they are sold, leaving the operator to simply activate the voucher at time of sale.

System Generated: Sell a Voucher and the system will generate its own number which can then be allocated to the sold voucher.

Back office Vouchers

The Voucher Ledger allows back office enquiries and forfeitures of Vouchers.
Full transactional and aged ledger reports of Vouchers can also be generated.

Voucher Types

Value Vouchers: Hold a monetary value and allow redemption of any sales item available in POS at their current sale value. For example, a gift voucher, or a prize voucher.

Item Vouchers: Hold a count value and only allow redemption of certain items. For example, a Corporate Voucher allowing the holder redemption of 100 rounds of golf.

 

Detailed explanation of Item Vouchers

Item Vouchers are a great way to manage and sell corporate packages. They give the ability to sell and redeem vouchers through POS which store a count of a number of items to sell.
Each voucher can store a count of one or more “voucher items” to redeem.
However, if multiple “voucher items” are available on a voucher, they all contribute to the overall count of the voucher and therefore will all redeem at the same value.

For example, if morning rounds of golf are normally more expensive than twilight rounds. A voucher may allow redemption of 100 morning rounds of golf, but may also allow redemption of twilight rounds of golf. If the voucher holder (customer) chooses to redeem twilight rounds instead of morning rounds, he or she can, but it still reduces the count of the voucher by one for each redemption. And they are sold through POS with the same value (regardless of whether they are morning or twilight rounds).

A Voucher Item can be made up of multiple sales items. For example, a Voucher Item called “Twilight Round” could be made up of $20 Green Fee and a $5 Levy.


Note that an Item Voucher can only hold one count. Therefore a package consisting of 100 rounds of golf and 20 buckets would require two vouchers (one for comps and one for buckets).

Voucher Ledger integrates with Point of Sale

POS is used to sell and redeem vouchers.

POS with Voucher Module would include an area (or screen) where Voucher buttons would be set up, such as:

  • Sales Buttons for Vouchers which are not pre-generated
  • Button to sell Pre-Generated Vouchers
  • Button to Redeem Item Vouchers
  • Button to Lookup Voucher details and balances
  • Button to pay (redeem) a Sale with a Value Voucher
  • Button to redeem an Item Voucher

Voucher Ledger integrates with Membership

Vouchers can optionally be linked to a Member or Sundry Debtor. In this case, Vouchers can be looked up by the person they are linked to.

Additional information, such as a contact phone number, can be added to the individual voucher.

Voucher Ledger integrates with Financials

The Voucher Ledger is fully reconcilable with Voucher Liability accounts in the General Ledger. Sales, redemptions and forfeits of vouchers all post to the General Ledger.
Multiple Voucher Liability accounts can exist. For example, Voucher Liability accounts can be created for Gift Vouchers, Corporate Round Vouchers, Birthday Vouchers, Promotional Vouchers etc.
